VPHIB v3 Procedure List v3.2.0 (rev. 5/1/15)

Attached is the list of procedures accepted by VPHIB for use with eProcedures.03/Procedure and dConfiguration.03/Procedures Permitted by the State. We are committed to being flexible with the submission of procedure codes, but need to utilize best practices based upon the SNOMED procedure codes. When an agency determines it performs a procedure that is not listed; a request to add the additional procedures/SNOMED codes must be submitted to OEMS prior to submission.

Agencies are encouraged to request additional procedures as early as possible. Upon request to add an additional procedure, OEMS will evaluate the request and determine if the requested procedure is a duplicate to an existing code or if a better code should be used in Virginia.

OEMS will take one or more of the following actions when additional procedures are requested:

  • If the procedure is available within SNOMED.
  • Review existing codes for an equivalent procedure already in use and advise the agency of the correct/better code to use.
  • If an equivalent procedure being requested is in use we may advise the agency to simply re-label its procedure so the codes being used by the state and the agency are the same.
  • If the procedure already exist; OEMS may add the requested procedure code to VPHIB, but have the new procedure code map to an existing procedure.
  • If the procedure is not available within SNOMED; OEMS will work with NEMSIS TAC, our vendor, and other states to determine how to best collect the procedure being requested. This could be a time consuming process and agencies may need to create a custom element to capture the requested procedure.

Agencies are highly encouraged to avoid creating mappings within their software products when setting up procedures and other lists. Mapping should be used as a last resort in order to prevent breaking the data standard and having data quality issues. Consult OEMS prior creating any mappings that are connected with the mandatory data element.
