Demographics Data Errors caused by uploading Demographic Data

This article is in reference to issues identified by OEMS that were caused when a Demographics Data File was uploaded by your agency/EMS software vendor.  Those issues are:

  • Duplicate and invalid Vehicle entries
  • Duplicate Personnel entries **
  • NPI entries which do not correspond with how this information needs to be reported
  • FDID entries which do not correspond with how this information needs to be reported
  • EMD Vendor entries which may be duplicated due to sight naming issues or do not correspond with how this information needs to be reported

**Note:  After our notice was sent, an issue was discovered regarding duplicate personnel entries.  All Duplicate Personnel entries will now have to be inactivated by the agency administrator. To do this, after logging into the Virginia Elite system, select the agency name and select users.  Once the list of users comes up, review the list to identify all of the duplicates.  To inactivate an account, select the user's name (First or Last) to open the User Information screen.  On the User Information screen, select the Account Details tab.  On the Account Details tab, look for the Active/Inactive buttons next to Agency Status.  Select Inactive.  Click the green Save button (top right).  Repeat the process until all duplicate accounts have been set to inactive.  Inactivating an account will not affect any submitted EMS records.
